Secure Document Sharing
Emailing a PDF is not the same as sharing it securely. This workflow applies three layers of protection before your document goes out: strip all hidden metadata that could reveal internal information, encrypt the file with a password, and add a visible watermark that identifies the recipient — so if the document leaks, you know where it came from.
Why this workflow?
Metadata-Clean
No hidden author names, edit history, or company details leak to the recipient or their IT department.
Encrypted at Rest
Password encryption means intercepted files cannot be opened without the password.
Traceable
Recipient-specific watermarks create accountability — leaked copies identify the source.
Permission Controls
Restrict printing, copying, and editing so recipients can view but not repurpose your content.
Step-by-step workflow
- 1Upload the documentPDF Sanitizer
Upload the PDF you need to share — contracts, proposals, reports, or any sensitive business document.
- 2Sanitize metadataProtect PDF
Strip hidden metadata including author names, company information, revision history, and any embedded scripts or attachments.
- 3Encrypt with passwordWatermark PDF
Set a strong open password and restrict permissions — disable printing, copying, and content extraction.
- 4Add recipient watermark
Apply a visible watermark with the recipient's name or a tracking ID so leaked copies can be traced back to the source.
- 5Share securely
Download the protected PDF. Send the file and password through separate channels (e.g., email the file, text the password).
よくある文書の課題
- Sending PDFs with hidden metadata (author, company, edit history) that reveals internal information
- No encryption on emailed documents — anyone who intercepts the email can read the file
- No way to trace a leaked document back to the recipient who shared it
- Using consumer file-sharing tools with no access controls for sensitive business documents
- Manually applying security settings to every document before sharing
Tools used in this workflow
PDF Sanitizer
Remove hidden metadata, JavaScript, embedded files, and revision history before external sharing
Protect PDF
Set an open password and restrict printing, copying, and editing permissions
Watermark PDF
Add a visible watermark with recipient name, date, or tracking identifier to deter unauthorized redistribution
よくある質問
- How strong is the PDF password encryption?
- PDF encryption uses AES-256, which is the same standard used by governments and financial institutions. A strong password (12+ characters, mixed case, numbers, symbols) makes brute-force attacks computationally infeasible.
- Can I add a different watermark for each recipient?
- Yes. Run the watermark step separately for each recipient with their name or a unique tracking ID. This way, every copy is uniquely identifiable if it is shared without authorization.
- What metadata does the sanitizer remove?
- The sanitizer removes author and creator fields, creation/modification timestamps, revision history, embedded JavaScript, file attachments, XMP metadata, and custom document properties. The output is a clean PDF with no traceable internal information.
