How to E-Sign PDFs Online Free — Send, Sign & Track

Send PDFs for signature, add multiple signers, place signature fields, track signing status, and download audit certificates — all free with WhiskFile.

Sending a PDF for signature used to mean printing, signing, scanning, and emailing back. WhiskFile's E-Sign PDF tool replaces that entire process with a browser-based workflow where you upload a document, assign signers, place fields, and send — no accounts required for your signers.

How E-Signing Works in WhiskFile

The E-Sign PDF tool goes beyond simple signature placement. It handles multi-party signing workflows where you need one or more people to review and sign a document, with full tracking and an audit certificate at the end.

Here is the step-by-step process:

Step 1: Upload Your Document

Go to the E-Sign PDF tool and upload the PDF you need signed. This could be a contract, agreement, NDA, offer letter, or any document that requires one or more signatures.

Step 2: Add Signers

Click Add Signer to define each person who needs to sign. For each signer, enter:

  • Name — The signer's full name
  • Email — Where the signing invitation will be sent
  • Signing order (optional) — Set sequential signing so Signer 2 only receives the document after Signer 1 has completed their portion

You can add as many signers as your document requires. For a simple contract between two parties, add yourself and the counterparty. For a multi-stakeholder agreement, add everyone.

Step 3: Place Signature Fields

With your signers defined, drag and drop fields onto the PDF pages:

  • Signature — A full signature field (draw, type, or upload)
  • Initials — For page-by-page acknowledgment
  • Date — Auto-fills with the signing date
  • Text — Free-form text input (name, title, company)
  • Checkbox — For terms acceptance or option selection

Each field is color-coded by signer, so you can visually confirm that every signer has the correct fields assigned to them. Resize and reposition fields by dragging their edges.

Step 4: Send for Signature

Click Send. Each signer receives an email with a secure link to the document. They open the link in their browser — no WhiskFile account needed — review the document, fill in their assigned fields, and submit.

If you set a signing order, signers are notified sequentially. If no order is set, all signers receive the invitation simultaneously.

Step 5: Track Signing Status

Back in your WhiskFile dashboard, you can monitor the status of every signing request:

  • Pending — Invitation sent, not yet opened
  • Viewed — Signer opened the document but has not signed
  • Signed — Signer completed all their fields
  • Declined — Signer declined to sign (with optional reason)
  • Expired — The signing deadline passed without completion

You can send reminders to signers who have not yet completed their portion.

Step 6: Download the Signed Document and Audit Certificate

Once all signers have completed their fields, you receive a notification. Download two files:

  1. The signed PDF — Contains all signatures, initials, dates, and text fields embedded in the document
  2. The audit certificate — A separate PDF documenting every action: when the document was sent, when each signer opened it, when they signed, their IP addresses, and browser details

The audit certificate provides a tamper-evident record that strengthens the legal enforceability of the signatures.

When to Use E-Sign vs. Fill and Sign

WhiskFile offers two signing tools for different scenarios:

E-Sign PDF is for multi-party workflows — when you need to send a document to others for their signature, track whether they have signed, and collect an audit trail.

Fill and Sign PDF is for single-party signing — when you need to add your own signature to a document before sending it yourself via email or file share.

Use E-Sign when the other party needs to sign. Use Fill and Sign when only you need to sign.

Security and Legal Validity

All signing links are encrypted and expire after a configurable period (default: 30 days). Documents are processed in your browser where possible and stored temporarily on WhiskFile's servers only for the duration of the signing workflow. Once all parties sign and download, you can delete the document from your workspace.

Electronic signatures created through WhiskFile's E-Sign tool are legally valid under the US ESIGN Act, EU eIDAS Regulation, and UK Electronic Communications Act for most commercial contracts, employment agreements, NDAs, and vendor agreements.
