A watermark on a PDF communicates the document's status, protects intellectual property, or marks distribution. Whether you're stamping "DRAFT" on a financial report, adding a "CONFIDENTIAL" notice to a contract, or branding a document with your company logo, here's how to do it effectively.
How to Add a Text Watermark
- Go to the Watermark PDF tool.
- Upload your PDF.
- Choose Text Watermark.
- Type your watermark text (e.g.,
CONFIDENTIAL,DRAFT,SAMPLE,FOR REVIEW ONLY). - Configure appearance:
- Position: Diagonal (most visible), center, or specific corner
- Opacity: 30–60% is typical — visible without obscuring content
- Font size: Large enough to span the page diagonally (typically 60–100pt)
- Color: Red or dark gray for "DRAFT", lighter gray for "CONFIDENTIAL"
- Click Apply.
- Download the watermarked PDF.
Common text watermarks and their use:
| Watermark | Use | |---|---| | DRAFT | Document not yet finalized — do not act on | | CONFIDENTIAL | Restrict distribution to authorized recipients | | SAMPLE | Template or example document, not for actual use | | FOR REVIEW ONLY | Under review — do not distribute or file | | PRELIMINARY | Early version, subject to change | | DO NOT COPY | Restrict unauthorized reproduction | | [Company Name] | Brand ownership on marketing materials |
How to Add an Image Watermark (Logo)
For company branding on outgoing documents, you can use your company logo as the watermark instead of text.
- Go to the Watermark PDF tool.
- Upload your PDF.
- Choose Image Watermark.
- Upload your logo (PNG with transparent background works best; JPG is also supported).
- Configure:
- Position: Center or corner placement (for logos, corner is often more subtle)
- Opacity: 15–30% for a watermark effect, 100% for an opaque stamp
- Size: Scale to appropriate proportion relative to the page
- Click Apply and download.
Best practices for image watermarks:
- Use a PNG with a transparent background so only the logo graphic appears, not a white rectangle
- For a diagonal stamp effect, rotate the image 45° before uploading
- For a full-page ghost watermark, use 15–25% opacity so the logo is visible but doesn't interfere with readability
Placement Options
| Position | Best for | |---|---| | Diagonal (center, full-page) | DRAFT, CONFIDENTIAL, SAMPLE — maximum visibility | | Center (horizontal) | Legal notices, approval stamps | | Bottom center | Copyright notices, page footers | | Bottom right | Subtle branding, document reference | | Top right | Date/revision stamps |
Opacity Guide
| Opacity | Effect | Use Case | |---|---|---| | 10–20% | Very subtle, barely visible | Background branding on published documents | | 30–50% | Clearly visible, content still readable | CONFIDENTIAL, DRAFT notices | | 60–80% | Prominent, somewhat obscures content | SAMPLE, VOID stamps | | 100% | Fully opaque stamp | Approval stamps, date stamps where visibility is critical |
Making Watermarks Permanent (Flattening)
A watermark applied as an overlay layer can be removed by anyone with Adobe Acrobat Pro by simply deleting the layer. To make a watermark permanent:
- Apply the watermark using the Watermark PDF tool.
- Then run the watermarked PDF through the Flatten PDF tool.
Flattening merges all layers into a single base layer. The watermark becomes part of the page image and cannot be separated or removed without significantly degrading the document.
When to flatten: Always flatten watermarked PDFs before distributing documents where the watermark is a security or legal requirement. For internal working documents, flattening is optional.
Can You Remove a Watermark from a PDF?
Removing a watermark depends on how it was applied:
If the watermark is an overlay layer (not flattened): Adobe Acrobat Pro can remove it via Document → Watermark → Remove. WhiskFile doesn't provide watermark removal for third-party documents.
If the watermark was applied with WhiskFile's Watermark tool and then flattened: It cannot be removed without visual degradation to the document. The watermark is now part of the page pixel data.
If the watermark is in a scanned PDF: It was photographed as part of the page and is permanent — no software can cleanly remove it without specialized image editing.
Note: Removing watermarks from documents you don't own is typically a terms-of-service violation and potentially a legal issue. Only remove watermarks from documents you created or have rights to.
Quick Answers
Can I watermark only specific pages? The Watermark PDF tool applies the watermark to all pages. To watermark only specific pages, extract those pages with Extract PDF Pages, watermark them, then merge back with Merge PDF.
Can I watermark a password-protected PDF? Remove the password first with Unlock PDF, apply the watermark, then optionally re-apply password protection with Protect PDF.
Will the watermark appear when printed? Yes. The watermark is applied to the PDF content itself and appears on screen and in print. If you don't want the watermark to print, that would require a print-specific layer control, which is outside the scope of the standard watermark tool.
What if I need a different watermark on each page (e.g., page numbers as part of the watermark)? The current watermark tool applies the same watermark to all pages. For dynamic per-page content, use the Header & Footer PDF tool, which can insert page numbers and custom text into the header or footer of each page.
